- Sort, re-order, and systematically organize physical personnel files prior to scanning to ensure uniform sequence and flow
- Operate document scanning hardware and software to convert paper HR records into high-quality digital files per company naming conventions and directory structures
- Audit document details (First Name, Last Name, Middle Name, Dates, Employee IDs) line-by-line, identifying and rectifying errors before final digitization
- Inspect physical files to identify missing required records, missing signatures, or missing pages
- Coordinate with internal team members to locate and source missing documentation to complete physical files prior to digital upload
- Ensure digitized documents match current Workday employee profiles for clean batch uploading and electronic document management
- Adhere strictly to privacy policies and data protection regulations regarding sensitive employee personal data
- Currently pursuing or recently completed a Bachelor’s degree in Human Resources, Business Administration, Records Management, Information Systems, or a related field
- Meticulous eye for detail with a low error rate when reviewing names, dates, and identification numbers
- Strong file-management skills and the ability to maintain structured order across large volumes of physical and digital records
- Familiarity with basic office technology (scanners, PDFs, file managers, Microsoft Excel/Word). Basic exposure to or familiarity with Workday or other HRIS tools is a plus
- High level of discretion and standard of ethics when handling confidential employee documentation
- Clear written and verbal communication skills to follow up on missing paperwork and report audit findings
